PennO365 In-Place Archive

PennO365 accounts have a 100 GB limit for the account mailbox. There is an option called In-Place Archive, which creates a different location where older messages can be stored and accessed but do not count against your 100 GB account quota. The In-Place Archive is only accessible using the Outlook Application (Mac or PC) or Outlook on the web (OWA); Archiving Policies can only be set in Outlook on Windows or using OWA.

What is the In-Place Archive?

 

The In-Place Archive is a feature within Microsoft O365 to allow you to move messages outside of your "regular" account mailbox and not have these message count against your 100GB mailbox quota. This will create a separate mailbox where messages can be automatically moved after a period of time of your choosing. The intention is to set an Archive policy on your Inbox, Sent, or other folders within your email and have it move messages when they reach the age threshold selected. This way your regular email account never ends up getting close to the 100 GB quota and having send or receive issues.

How to request the In-Place Archive?

 

This feature is starting to be automatically turned on for anyone approaching the max quota (100 GB). You do not need to wait until you are almost out of space, you can request this feature at any time and put Archive Policies in place ahead of time!

Using the In-Place Archive

 

The In-Place Archive is only accessible using the Outlook Application (Mac or PC) or OWA; Archive Policies can only be set in Outlook on Windows or using OWA.

Where can I see my In-Place Archive?

The In-Place archive can be viewed when using the Outlook Application on either Mac or PC, as well as through the OWA. Archive Policies can only be applied using the Outlook application on Windows, or through the OWA. It is recommended to set up Archive Policies using OWA.

How do you set Archive policies using OWA?

  1. First, sign into OWA
  2. Scroll down the left hand side and confirm that the In-Place Archive section is there
  3. Scroll back up to your full email, choose a folder that you would like to have messages moved to the In-Place Archive
    1. Right click the folder in question
    2. Choose from the following options under Archive Policy:
      • Personal 3 months move to archive
      • Personal 6 months move to archive
      • Personal 1 year move to archive
      • Personal 18 months move to archive
      • Personal 2 year move to archive
      • Personal 3 year move to archive
      • Personal 5 year move to archive
    3. These are the only options and cannot be changed, or different ones created
  4. The policy will filter down to folders within that folder, unless specified differently. The default for all folders is to "Use Parent folder policy"
  5. The process does take some time and seems to work overnight. Do not expect messages to start moving instantly, instead check back after a couple of days and see how it's going

How can you search the In-Place Archive?

You cannot search both your regular email and the In-Place Archive at the same time. Since you can only view the In-Place Archive through the Outlook Application on Mac or PC, or the OWA through a web browser, one of these applications will need to be used when hoping to search the In-Place Archive. Advice is to first search your regular email to see if the message comes up, if not, then select the In-Place Archive in the left hand column and search again.
